What a crew member sees

The Crew access level from the inside: which menu rows appear, what a job page shows and hides, and why prices are nowhere.

Crew is the access level for the people in the van — installers, helpers, a second painter. It costs the company nothing and it is deliberately narrow: your own schedule, the jobs you are booked on, the clock, time off, safety, your own payslips. No prices anywhere, no quotes, no invoices, no leads, and no customer list.

This article is what that looks like on the phone. It is written from the product's own permission grid, so it says what the menu actually does; if your owner gave you a custom grid, some rows may differ.

Overview

The Crew preset writes one level per area: schedule View and complete their own schedule; time tracking View, record, and edit their own; payroll View their own payslips; notes View notes on jobs and visits only; clients View client name and address only; jobs View only (narrowed to jobs you are booked on); requests, quotes and invoices No access; safety Report incidents, and view their own; and the three money switches off.

Crew is fixed. Pick it and there is no grid to move — raising any dial above the Crew ceiling turns the person into a paid seat. The owner can instead give you a Custom grid, which is a seat.

Below the groups: Help and Settings. Settings keeps three rows for you — Language, Availability (your own bookable hours) and Product Updates. If your company has turned crew texting on, a Crew inbox row also appears, showing only the texts you sent in.

On a job page

  • The client's name and address, and the site address. The phone number and email are withheld by your level — the job page says so beside the On my way button, and the client still gets the text.
  • Visits: date and time, who is assigned, the checklist with its hold points, and — on visits assigned to you — On my way, Mark complete and Cancel visit.
  • Materials to buy, as a list with quantities and no prices.
  • Job photos with an upload button, and the Daily log you can write and save — see Photos from the field.
  • The notes on the visit itself. Private notes on the client and the lead's call-back log are not shown.

What is hidden, and why

  • Leads, Quotes, Invoices, Service Plans, Messages — No access means the row is gone and the page refuses. A crew member never reads a price the client was charged.
  • Clients and Client equipment — the customer list is the company's most portable asset. You get an address on your own work, not the book.
  • Team, Team calendar, Timesheets, Expenses, Insights, KPIs, Marketing, Receptionist, Plan, Refer & Earn — management and money screens; each one's server route refuses below the level that shows the row.
  • What this job has cost and every costing card — the job costing switch is off.
  • Editing your own hours — the permission exists, but the only screen that edits entries is Timesheets, which the Crew level does not open. A forgotten clock-out is fixed by your manager.

Who decides

The owner or an administrator sets your level on Manage Team; a Manager or Dispatcher can invite you at the Crew level but cannot change an existing person's access. Hiding a row is cosmetic — every page's own server route re-checks the same grid, which is why a screen you were not shown answers with a refusal rather than the page. If you need something you cannot see — a client's phone number, a price for a supplier — ask rather than work around it. The owner can move you to a Custom grid in one dropdown.

Frequently asked questions

I can see a job but not the client's phone number. Is that a bug?

No. The Crew level shows a client's name and address only. When you tap On my way, the client still gets the text; the number is hidden from you, not missing.

Why is a job I worked on last month gone from my list?

The list shows jobs you have a visit on. If the visit was moved to somebody else, the job leaves your list. Its chat room stays under Finished jobs if the job is done.

Can I log an expense from my phone?

Not today. The Crew level allows recording your own expenses in the permission grid, but the expense screens are management screens the Crew level does not open. Hand receipts to the office.
